Executive Assistant 

Reports to: Chief Executive Officer  

Status: Full-time, Exempt 

Job Summary  

With SARSEF, every Arizona student has the opportunity to discover their potential as a scientist or engineer solving problems big and small. SARSEF uses a comprehensive programming model that supports students, teachers, and families so that students can think critically and solve problems through science and engineering. We couldn’t be successful without strong operations.  

As SARSEF’s Executive Assistant, you will work with the Chief Executive Officer and the Director of Finance to ensure SARSEF operations enhance programs and contribute to organizational excellence.

The successful candidate should have strong organization and management skills to take ownership of and initiative in their work. Experience in nonprofit operations is preferred. Ability to collaborate with others is a must!

This position is based in office full-time.

 Job Responsibilities

CEO Support

  • Assist CEO with calendaring
  • Support board relations
  • Create agenda for monthly team meetings
  • Assist in hiring and onboarding process
  • Serve as lead liaison with key UA contacts  

Director of Finance Support

  • Collect and process monthly employee reporting
    • Receipts and reimbursements
    • Time reporting
  • Confirm payroll is correct before it runs
  • Support financial audits and reporting
  • Support insurance renewals and reporting
  • Supply certificates of insurance as needed
  • Create, print and mail outgoing checks
  • Deposit incoming checks
  • Classify transactions in QuickBooks

Office Management

  • Uphold SARSEF’s internal and external values in the office environment
  • Serve as first point of contact for general phone and email lines
  • Support general policies as defined by the CEO and Director of Finance
  • Support Development Manager with mailings and database maintenance
  • Provide support to marketing consultants (Ex. printing, ordering, logistics)
  • Maintain lawful storage of employee and financial files
  • Maintain office supplies and take lead ordering
  • Process mail and deliveries according to best practices
  • Lead liaison with IT companies and Community Foundation campus
  • Book travel for staff

Basic Requirements

Must pass a Pima County fingerprint clearance.

Compensation

The starting salary of this position is $47,000-55,000 DOE with potential for higher through tenure and performance. Position includes employer-paid health, dental and vision insurance, generous paid time off, and paid holidays.
