SARSEF DONOR PRIVACY POLICY

SARSEF: Southern Arizona Research Science and Engineering Foundation (“we,” “us,” “our,” or “SARSEF”) is  committed to protecting the privacy and respecting the generosity of our donors. This Donor Privacy Policy describes how we collect, use, and safeguard information from individuals who make contributions to SARSEF.

COLLECTION OF DONOR PERSONAL INFORMATION

Personal Information Provided by You: When you make a donation, we may collect: Names and recognition name, phone number, email addresses, mailing/billing addresses, credit card, debit card, bank account information, contact preferences, tribute, and memorial gift information. SARSEF may also collect information you choose to provide.  

Payment Data: We collect data necessary to process your donation, such as your payment method number and security code. All payment data is handled and stored by our processing and payment partners, Bloomerang, QuickBooks and Stripe. All personal information you provide must be true, complete, and accurate. Please notify us of any changes to your information. 

HOW DO WE PROCESS YOUR DONOR INFORMATION? 
We process your donor information to:  

  • Accept donations and provide tax receipts so you can receive appropriate tax documentation,  
  • Communicate about our mission and impact through newsletters, program updates, and annual reports,  
  • Send fundraising communications about future giving opportunities and campaigns,  
  • Recognize and thank donors through acknowledgments and recognition opportunities,  
  • Prevent fraud and ensure security by detecting and preventing fraudulent transactions, and  
  • Maintain financial records to comply with IRS requirements, auditing standards, and charitable solicitation laws. 

Donation records are typically maintained for at least seven years to comply with IRS and audit requirements.

INFORMATION SHARING AND DISCLOSURE 

We do not sell, trade, or rent donor information to third parties. We may share your information only in the following limited circumstances: 

Service Providers: We use trusted third-party service providers who assist with payment processing, data management, or mailing services. These providers are contractually obligated to protect your information and use it only for specified purposes. 

Legal Requirements: We may disclose information when required by law, court order, or governmental authority, or in the good faith belief that such action is necessary or to protect our rights and safety. 

Recognition: We may share limited donor information for recognition, such as recognizing you as a donor in our publications or on our website. 

KEEPING YOUR INFORMATION SAFE 

We have implemented technical, organizational, and training security measures to protect your donor information. However, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure. Although we will do our best to protect your personal information, transmission to and from our platform is at your own risk. You should only access the donation form within a secure environment. 

ARTIFICIAL INTELLIGENCE AND DONOR PRIVACY

AI may be used to support fundraising research, data organization, and drafting communications. However:

  • Responsibility for AI governance in development activities rests with the Chief Development Officer and CEO.
  • Human review is required before any AI-assisted fundraising communication is used.
  • No personally identifiable or donor data may be entered into external AI systems.

DONOR RECOGNITION AND ANONYMITY 

We deeply appreciate our donors and want to honor your giving preferences. You retain rights to decline any donor recognition offered by SARSEF. These include:  

  • Public recognition in annual reports, event signage, newsletters, and on our website,  
  • Recognition under a different name, designation, lower gift level for privacy, 
  • Anonymous recognition where gift amount is acknowledged but not attributed to you, or  
  • Complete anonymity with no public acknowledgment.  

How to Set Your Preferences: When making your donation on the online donation form, indicate your preference in the comment section. All donors will be acknowledged with public recognition unless you inform us otherwise. You can contact us at any time at director@sarsef.org or development@sarsef.org to update your recognition preferences. 

Important Note: Even for anonymous gifts, we maintain internal records with your information for tax receipts, IRS reporting, and legal compliance. 

OPTING OUT OF COMMUNICATIONS 

You can unsubscribe from our marketing and promotional communications at any time by: clicking the unsubscribe link in emails we send, emailing us at director@sarsef.org, or calling us at 520-619-7836. You will then be removed from marketing lists. However, we may still send you service-related messages necessary for donation acknowledgment, tax receipts, or other non-marketing purposes. 

DONOR BILL OF RIGHTS 

SARSEF adheres to the Donor Bill of Rights, developed by the Association of Fundraising Professionals (AFP) Association for Healthcare Philanthropy (AHP) Council for Advancement and Support of Education (CASE) Giving Institute: Leading Consultants to Non-Profits. As a donor to SARSEF, you have the right: 

  1. To be informed of the organization’s mission, of the way the organization intends to use donated resources, and of its capacity to use donations effectively for their intended purposes. 
  1. To be informed of the identity of those serving on the organization’s governing board, and to expect the board to exercise prudent judgment in its stewardship responsibilities. 
  1. To have access to the organization’s most recent financial statements. 
  1. To be assured their gifts will be used for the purposes for which they were given. 
  1. To receive appropriate acknowledgement and recognition. 
  1. To be assured that information about their donations is handled with respect and with confidentiality to the extent provided by law. 
  1. To expect that all relationships with individuals representing SARSEF of interest to the donor will be professional in nature. 
  1. To be informed whether those seeking donations are volunteers, employees of the organization or hired solicitors. 
  1. To have the opportunity for their names to be deleted from mailing lists that an organization may intend to share. 
  1. To feel free to ask questions when making a donation and to receive prompt, truthful and forthright answers. 

POLICY CHANGES

We may update this Privacy Policy from time to time. The updated version will be indicated by the “Last updated” date at the top. We encourage you to review this Privacy Policy regularly.
